At JGU, you submit your applications and requests online. However, in some cases we need documents and proofs from you. Here we explain how these documents should look like and what you should pay attention to.

Get your documents in shape

Certificates and other official documents are required as officially certified copies. In other words, the copy of your documents must be verified by a public authority.

We will tell you which documents we need from you in officially certified copy in your applications and notices.

Only the following agencies may officially certify your documents:

  • Municipalities
  • Counties
  • Local mayors
  • local chiefs
  • City councils (town hall)
  • County administrations
  • Courts
  • Notary publics

Schools, universities and university colleges are only allowed to certify certificates that they have issued themselves.

We do not accept certifications from these offices:

  • Welfare organizations
  • church institutions (e.g. parish offices)
  • interpreters
  • health insurance companies
  • Credit institutes
  • Savings banks
  • associations

For an official certification outside of Germany, please contact

  • the diplomatic representation of the Federal Republic of Germany
  • the authorities and notaries who are authorized for official certification in your country

Your copies are officially certified if they bear an official seal. You are not allowed to copy this official certification again. If you copy your stamped document, it is no longer an officially certified document.

If your name is not stated on all pages, it must be added by the person who certifies your documents.

If your document has several pages, they will be connected with a string or by a seal. Do not detach the pages from each other under any circumstances. Otherwise, the certification will no longer be valid.

Speaking the same language

We can accept your documents in these languages

  • German
  • English
  • French

For all other languages we need additional translations. You can get your translation from

  • a sworn interpreter or translator
  • the issuing school or university

Translations must be officially certified. Please note that interpreters only certify the translation. You must have the original officially certified separately.

Along with the certified translation of your certificate, we also need an officially certified copy of the certificate in the original language.

Documents for your application for a university entrance qualification

If you do not have a general university entrance qualification in Germany (e.g. Abitur), you must apply for your university entrance qualification.

For these applications you need the following documents:

Copy of your passport or identity card (copy/scan)
Officially certified copies of your leaving and graduation certificates in German, English or French from the schools you have previously attended

Additionally for your application for recognition of international certificates:

  • Graduation certificates from your previous universities (award certificate, overview of subjects and grades) in officially certified copies. Language: German, English or French.

If a university entrance examination is required in your home country in order to study at a university:

  • Certificate of your university entrance examination in officially certified copy.
  • Be sure to check if there are any special requirements for your home country.

Additionally for your application for professional qualification:

  • complete curriculum vitae up to the date on which you submit the application
  • officially certified copy of your vocational training certificates
  • stamped and self-addressed return envelope

If you are submitting an application for direct general university entrance qualification:

  • Proof of your master craftsman's examination with evidence of the number of hours of continuing education.

If you are submitting your application as a professionally qualified person and did not complete your training in a German-speaking country and do not have German citizenship:

  • Proof of the required language skills in German

The Internationale Studien- und Sprachenkolleg will advise you on your language certificate.

The documents for your application

In many cases we do not need any documents for your application. If however we require documents from you, we will inform you. You will find that information in the application portal. Simply click on "Print" in the application overview and download the PDF document.

Your application to a bachelor's degree or state exam is usually paperless. After you have been admitted, you will need these documents:

  • tabular curriculum vitae (up to the date of admission)
  • officially certified copy of your university entrance qualification
  • simple copy of an official identification document and, if applicable, proof of second citizenship
  • passport photograph
  • Current certificate from the health insurance company "for submission to the university" or exemption certificate for privately insured persons

If you have indicated your service in the application:

  • Officially certified copy of military or civilian service certificate, certificate of voluntary social year, or similar.

In case of application for the subjects sports or arts:

  • single copy of the qualifying examination certificate

If you have already studied at another German university:

  • Exmatriculation certificate from the last university you attended
  • officially certified copy of your degree certificate

If you are continuing your previous course of study:

  • current certificate of study

If you have already taken an intermediate examination in the degree program you are applying for:

  • officially certified intermediate examination certificate

If you are transferring to a similar degree program:

  • Subject semester classification

If you are changing to medicine, pharmacy and dentistry:

  • declaration of no objection

If you have acquired your university entrance qualification abroad:

  • Certificate of recognition
  • Proof of having passed the German Language Examination or corresponding exemption from the ISSK

Sometimes we need additional documents to process your application. In that case, we will inform you in your application, your application or by e-mail.

Documents for your master's application

Your desired study program participates in the simplified transfer procedure:

For admission-free Master's programs, print out your application for transfer. Sign it and submit it to us at the Student Services. As soon as your semester fee has arrived and the necessary credit points have been confirmed, we will automatically transfer you.

For admission-restricted Master's programs, you apply paperlessly. After admission, we only need your signed declaration of acceptance.

Your desired degree program does not participate in the simplified transfer procedure:

After submitting your application online, print out the application for admission. With the signed application, submit:

  • Transcript and degree certificate from your university admission, including an overview of your completed coursework and examinations OR
  • A transcript of records showing at least 135 credit points and your average grade.

After admission, all we need from you is the signed acceptance letter.

  • A transcript of records showing at least 135 credit hours and your average grade.

If you are currently enrolled, we also need:

  • Current semester certificate

After you have been admitted, submit these additional documents:

  • Curriculum vitae in tabular form up to the date of admission
  • Officially certified copy of your university entrance qualification
  • Simple copy of your identification document and, if applicable, proof of your second citizenship

If you are currently enrolled:

  • Exmatriculation certificate from your last university

If you are applying for secondary enrollment at JGU:

  • certificate of enrollment for the upcoming semester

If you have already studied in a similar program:

  • Subject semester classification

If you are applying with international certificates:

  • Recognition of your university entrance qualification
  • Proof of having passed the German Language Examination for University Entrance or exemption from the ISSK

If we need additional documents to process your application, we will inform you in your application, your notifications or by e-mail.

You can provide your documents via the following ways:

  • as an e-mail-attachment to studsek@uni-mainz.de
  • by mail to:

We will inform you about the appropriate way to hand in your documents in your application, your certficates or by e-mail.

Please make sure that all documents reach us within the given deadlines. If this is not the case your application can not be processed.
